Project Assistant
Location: Berlin
Temporary Employment Contract: 12-month initial contract
The Project Assistant will play a vital role in the efficiency of our PMO. You will be responsible for
streamlining operational workflows, maintaining precise project data, and ensuring seamless
communication across all project stakeholders.
Key Responsibilities
• Operational Control & Tracking:
o Manage the Invoice Control Sheet to ensure financial accuracy.
o Create and maintain operational trackers to monitor project progress and KPIs.
o Maintain and ensure proper categorization of shared Box folders to facilitate efficient document management.
• Process Optimization:
o Develop process flow charts to provide clear visualization of current workflows.
o Identify bottlenecks and provide proposals for reducing PMO process overhead to improve team productivity.
• Stakeholder & Project Coordination:
o Provide rigorous follow-upand tracking of actions with various stakeholders across all projects.
o Support the organization of meetings and workshops, including handling all logistics such as room and hotel bookings.
• Reporting:
o Actively participate in the preparation of reports for senior management, ensuring data accuracy and clarity.
Required Skills & Qualifications
• Education: Bachelor’s degree in Business/Project Administration.
• Technical Proficiency:
• Advanced command of the Microsoft Office suite.
• Working knowledge of Smartsheet for project tracking and management.
• Professional Attributes:
• Proactive, self-driven, and self-motivated: Ability to work autonomously and take initiative.
• Communication: Strong interpersonal skills with the ability to engage effectively with project stakeholders.
• Organization: Superior organizational skills with a high attention to detail.
