We are seeking a highly organized, analytical, and technology-driven HR Specialist – Workforce Readiness & Data Analyst to support our operations in Germany.
This is not a traditional HR administration role.
The position combines HR administration, workforce readiness, data management, business intelligence, Power BI reporting, and AI-driven process improvement to ensure our workforce remains compliant, operationally ready, and supported throughout their employment lifecycle.
You will play a key role in helping employees, particularly international personnel, navigate German administrative requirements while also building the data systems, dashboards, and reporting that enable management to make informed decisions.

What You'll Be Doing
HR & Workforce Readiness
- Maintain accurate employee records and workforce readiness information.
- Track onboarding activities, employment documentation, and administrative requirements.
- Monitor employee readiness status, outstanding actions, and compliance deadlines.
- Develop and maintain readiness trackers, checklists, and status reporting.
- Identify missing documentation and proactively resolve issues before they impact operations.
- Support HR administration activities across the employee lifecycle.
- Work closely with employees and managers to ensure workforce readiness standards are achieved.
- Handle sensitive employee information with professionalism and confidentiality.
German Administrative & Municipal Coordination
- Support international employees through required German registration and administrative processes.
- Liaise with local authorities including Bürgerbüros, Gemeinde offices, and Rathaus administrations.
- Assist employees in understanding documentation and appointment requirements.
- Coordinate and monitor registration appointments and administrative actions.
- Track progress and ensure requirements are completed in a timely manner.
- Develop repeatable and scalable processes for workforce administration and compliance.
Personnel Data & Database Management
- Build, maintain, and improve personnel databases and workforce management systems.
- Consolidate data from multiple sources into structured and reliable datasets.
- Ensure the accuracy, consistency, and integrity of workforce information.
- Identify duplicate, incorrect, missing, or outdated records.
- Establish data standards, naming conventions, and reporting structures.
- Reduce manual administration and improve overall data quality.
Data Analytics & Power BI Reporting
- Create and maintain Power BI dashboards and management reports.
- Deliver clear visibility of workforce readiness, onboarding status, employee availability, HR actions, and key deadlines.
- Analyse workforce data to identify trends, risks, bottlenecks, and improvement opportunities.
- Transform complex information into meaningful business insights.
- Produce regular and ad-hoc management reports that support operational decision-making.
AI & Process Improvement
- Utilize Artificial Intelligence tools and Large Language Models to improve efficiency.
- Identify repetitive tasks that can be automated or simplified.
- Support workflow automation, data validation, document management, and reporting initiatives.
- Develop practical digital solutions using Power BI, spreadsheets, databases, and automation tools.
- Drive continuous improvement by replacing manual processes with smarter digital workflows.
What We're Looking For
Essential Requirements
- German language skills at B1 level or above (B2-C2 preferred).
- Good working proficiency in English.
- Strong Microsoft Excel skills.
- Excellent organizational and administrative abilities.
- Strong analytical and problem-solving skills.
- Experience working with structured data and databases.
- Familiarity with Power BI or similar reporting platforms.
- Comfortable using AI productivity tools and modern technologies.
- High attention to detail and commitment to data accuracy.
- Ability to manage multiple priorities and deadlines independently.
- Confidence interacting with employees, managers, and government officials.
Desirable Qualifications

- Experience with Power BI and Power Query.
- Knowledge of Microsoft 365, SharePoint, Power Automate, SQL, or related technologies.
- Previous HR administration experience.
- Knowledge of German registration, residency, and municipal administrative processes.
- Experience developing dashboards, databases, reporting systems, or automated workflows.
Recent graduates with strong technical aptitude are strongly encouraged to apply.
